Job Summary:

A Workshop Support Administrator provides comprehensive administrative assistance in support of the Operations, Finance, and Legal obligations of the Workshop Delivery Group. This position will be responsible for managing: 

  • Work visa processes
  • Bonus/commissions program 
  • Reporting
  • Expenses and client billing

The employee must be able and willing to work in a fast-paced, diverse team environment while providing cross coverage within the team as needed.


Work Visa Application Support: support the company in obtaining business work visa’s for travel.

  • Provides general support services as they relate to obtaining visas; processes, drafts, edits, proofreads and finalizes for signature/approval.
  • Coordinates with relevant parties in Research, Legal and HR on visa matters as required.
  • Advises and coaches staff on visa matters.
  • Manages instructions and templates as they relate to the visa processes.
  • Ensure all analysts who require visas obtain them in a timely manner.

Workshop Commissions and Bonuses: Manage the commission and bonus programs for workshops sales and delivery.

  • Collect information as it relates to workshop commissions and bonuses.
  • Works with the VP to approve commission and bonus amounts.
  • Works with payroll to ensure analysts are provided commissions and bonuses on time.
  • Communicates commission and bonus amounts to relevant parties.

Workshop Reporting: Supports the collection and reporting of key workshop metrics and financial data.

  • Works with the workshop team and Finance to provide reporting on key workshop metrics and earned revenue data.

Workshop Expenses and Billing: Supports the Billing of expenses following workshop engagements.

  • Manages analyst expense reimbursement following the completion of workshop engagements.
  • Manages the rebilling of client expenses following the completion of workshop engagements.
  • Coaches analysts on reimbursement rules and policies.
  • Works with members to resolve any rebilling issues that arise.

Required Qualifications Education, Experience & Skills

  • Minimum three years of general business administration, or in a support role as a HR Generalist or experience related to account/payroll, immigration law, compensation, etc.
  • College diploma or university degree required.
  • Exceptional verbal and written communication skills required.
  • Exceptional attention to detail and organizational skills required.
  • Experience using Word, Excel and PowerPoint required.
  • High level of confidence working with numbers.
  • Experience with Concur and preferred.
  • Experience with work visa processing an asset
